Email Archiving

Email archiving is an optional paid feature that allows you to store the full content of emails, along with delivery records, attachments and headers from 3 months up to 5 years. Email content is fully searchable, and emails can be viewed and downloaded from within the SMTP2GO App on the "Reports > Archives" page. Archiving is a useful tool for being able to visualize exactly how outgoing emails appear and is valuable for compliance needs.

Archived emails are stored in the USA, Europe, or Australia, depending on your account. You can confirm your location by checking the bottom-left corner of the App when logged in e.g. "Hosted in the USA". This is determined by the location from which you created your SMTP2GO account, however you can change your storage region by contacting support if required.

How to enable archiving

Archiving can be enabled for an SMTP User, Authenticated IP Address (IP Authentication), or API key in their respective sections in the App.

SMTP User
Sending > SMTP Users > select the Username > Advanced tab > turn Email Archiving on > click Save Changes.

IP Authentication
Sending > IP Authentication > select the IP Address > Advanced tab > turn Email Archiving on > click Save Changes.

API Key
Sending > API Keys > select the API Key > Advanced tab > turn Email Archiving on > click Save.

For example, to enable email archiving for an SMTP User, look for the 'Advanced' tab when editing that User.

View archived emails

From the "Reports > Archives" page, full text searching can be conducted on the text & HTML body of an email, as well as an email's subject, sender email address and recipient email addresses. Archived emails will appear a few minutes after being sent.

The Archives page provides a "Summary" section showing a detailed overview of the number of emails archived, size and total size for the time period (daily or monthly). The data can also be exported.

Export archived emails

Archived emails can be exported and downloaded in various formats including CSV, XML, NDJSON, Tar and Zip.

Adjusting your archiving duration

If you wish to adjust the length of time that your emails are archived, this can be done from the "Settings > Sending Options > Archiving Duration" page. You can choose an archiving duration period of 3 months up to 5 years. Note: access to 3 months and 6 months will only be available if your billing is handled by our new payment processor, Chargebee. If you do not see these durations, you will need to Switch Payment Processors.

Rates

Pricing for email archiving is shown on the "Settings > Sending Options > Archiving Duration" page in the SMTP2GO App. Standard subscriptions are charged USD $0.50 per GB per month. Legacy subscriptions (which are being phased out) are charged a price per email archived. Incurred archiving charges are added to your account and billed at the end of your billing month or if you're on an annual subscription without a card stored (e.g. pay via purchase order/wire transfer), charges will be invoiced once a certain limit is met or it will be added to the next plan renewal.
